Gmail attachment → Google Drive folder + Filed label
Every PDF that lands in Gmail is in the right Drive folder before you open it.
Signed forms, supplier documents and statements arrive as Gmail attachments and then sit in the inbox until someone drags them out. This workflow watches one Gmail label or search, saves each matching file to a Google Drive folder named for the sender's domain, and labels the email Filed. Paralegals, clerks and assistants get a folder that fills itself. The inbox stops being the filing cabinet.

Keep only the file types you file
Filters each attachment by extension and size, so PDFs, images and spreadsheets pass while inline logos, calendar invites and signature images do not.

Find or create the sender's folder
Searches for a subfolder named for the sender's domain under your Inbox Files folder and creates it on the first email from that domain.

Upload the attachment
Saves the file with the received date in front of the original filename, for example 2026-09-02 engagement-letter.pdf, so a folder sorted by name reads in date order.

Label the email Filed and archive it
Adds the Filed label, removes the Inbox label if you switch that on, and leaves the attachment on the original message.
What changes once it runs
- Attachments are in Drive within one polling interval of arrival, one minute by default on n8n.
- One folder per sender domain, created the first time that domain sends a file.
- The email keeps its attachment and gains a Filed label, so Gmail search still finds it.
- Filenames carry the received date, so a folder sorted by name reads oldest to newest without anyone renaming.

Questions before you buy
- Can it file into a folder per client instead of per sender domain?
- Yes. The folder step keys on the sender's domain by default because that needs no lookup table. The guide shows how to swap in a Google Sheets lookup that maps addresses or domains to client folder names.
- What happens if the Drive upload fails?
- The email is left without the Filed label, so it is visible as unfiled, and the upload node retries three times before giving up. Nothing is deleted at any point. Once the cause is fixed, the failed run is re-run from n8n's Executions list.
- Does it need a paid n8n plan?
- Any n8n plan works, including the Starter cloud tier and a self-hosted instance. The Gmail trigger polls, so a self-hosted install does not need a public URL.
- Will it file old emails when I switch it on?
- Only mail that arrives after the workflow is activated. For a backlog, the package includes a second, manually run workflow that takes a Gmail search, files every match once, and then does nothing.
- Does it read receipts and post them to QuickBooks?
- No. This package files and labels; it reads nothing inside the file. Turning receipts into QuickBooks expenses, with a model reading the supplier and amount, is a separate package in the finance category.
